Collecting contact info is a part of the Professional package. Your HappyOrNot contact will be happy to give you more information on the legal requirements to enable it.

If you want to give people the option to leave their contact details after the survey, you can do it by adding a "Contact us" screen to a Smiley Touch or Smiley Digital survey. The feedback giver can always skip giving their contact information and only leave regular feedback. We recommend that you only collect contact information if you have the resources to respond to the contact requests in a timely manner.

You can give the feedback giver the option to leave either an email address or a phone number, or both. The contact info data is encrypted end-to-end in transit and at rest.

Admins can create subscriptions to be notified of new contact requests or export them as an Excel. Due to data privacy reasons, contact requests are only stored in Analytics for 30 days and cannot be exported after that.

IMPORTANT: All Admins in the organization will be able to see the contact details data for experience points that they have access to and can create subscriptions to it for themselves or for others users. If there are Admins in the organization who should not have access to this kind of data, their role should be changed to User.

Start collecting contact information

To be able to collect contact info, you need to first add the details of the legal entity that will handle the feedback givers' information. Your legal entity information will be displayed on a data privacy page that is linked to the survey. You can have multiple legal entities, for example for different countries.

  1. Go to Admin > Organization settings.
  2. Scroll down to Contact info settings and select Add new.
  3. Add the required information for the legal entity.
  4. Select if you want to ask for the feedback givers' phone number, email, or both.
  5. Select Select experience points and add the experience points that will be attached to this legal entity.
IMPORTANT: When you add an experience point to a legal entity, the contact us page will be added to all surveys associated with it.  If you no longer want to collect contact information at a specific experience point, remove it from the legal entity.
